Two-Way Calendar Sync
Connect Google Calendar or Microsoft Outlook. Block time in either place and it reflects everywhere. One calendar. Zero double-bookings.
Double-bookings cost you clients
You block off Saturday for your kid's tournament. A client books Saturday through your website. Now you're choosing between cancelling on a paying client or missing the game. Double-bookings happen when your booking tool and your real calendar aren't connected — and they erode client trust fast.
Calendar sync eliminates this entirely. When Guidepole knows what's on your Google or Outlook calendar, clients can only book times you're actually free. No conflicts, no awkward cancellations, no juggling apps.
How it works
Google Calendar
Personal events, family schedule, maintenance days
Guidepole
Bookings, trips, client payments — your single source of truth
Outlook
Work events, meetings, shared team calendars
Set up in under a minute
Four steps. One-time setup. Automatic from there.
Connect your calendar
Go to Settings → Calendar Sync, click "Connect Google" or "Connect Outlook," and authorize Guidepole. Takes about 30 seconds.
Choose which calendars to sync
You might have a personal calendar, a work calendar, and a shared family calendar. Pick which ones should block your booking availability.
Guidepole syncs automatically
From that point on, every booking you take in Guidepole creates an event in your Google or Outlook calendar. Every event in those calendars blocks time in Guidepole.
Clients see your real availability
Your booking page, payment links, and Hooks.ly profile all reflect your synced calendar. Clients can only book open slots.
A week in the life
Monday morning. You block off Thursday afternoon in Google Calendar — boat's going in for service.
Monday afternoon. A client tries to book Thursday afternoon through your Guidepole booking page. The slot shows as unavailable. They book Friday instead.
Tuesday. Another client books a Saturday trip through Hooks.ly. The booking appears in your Google Calendar automatically.
Wednesday.Your wife adds a dinner reservation to your shared Google Calendar for Saturday evening. Guidepole notes the overlap doesn't conflict since the trip ends at 3 PM.
Result: Zero conflicts. Zero phone calls. You checked your calendar once on Monday and everything else happened automatically.
Why guides love calendar sync
Real-time, two-way sync
Block time in Google Calendar and it appears in Guidepole within minutes. Book a trip in Guidepole and it shows up in Google. No manual updating.
Zero double-bookings
When your calendar says you're busy, clients can't book that time. Period. Whether the event came from Guidepole, Google, or Outlook.
Block personal time
Dentist appointment, kid's baseball game, boat maintenance — block it in your personal calendar and your booking availability updates automatically.
Clients see real availability
Your booking page and Hooks.ly profile always reflect your actual open dates. Clients only see times you can actually take them.
Multiple calendars, one view
Manage two boats? Run trips on different waters? Each can have its own calendar, all synced to your master view in Guidepole.
Private events stay private
Guidepole only reads whether a time slot is busy or free. We never read event titles, descriptions, attendees, or any other details from your personal calendar.
The difference
Without calendar sync
- Check three apps before confirming a booking
- Manually block off personal time in your booking tool
- Double-bookings when you forget to update one calendar
- Clients book times you're not actually available
- Awkward cancellation calls that hurt your reputation
With Guidepole
- One calendar — everything synced automatically
- Personal events block bookings without manual updates
- Double-bookings are physically impossible
- Clients only see times you're genuinely available
- Your reputation stays strong — no last-minute cancels
Works with everything else in Guidepole
Cancellation Backfill
When a booking cancels, the slot opens across all synced calendars and backfill kicks in.
Overflow Routing
Calendar sync tells Guidepole when you're full, so overflow routing can send bookings to linked guides.
Mobile App
The Guidepole iOS app shows your synced calendar so you can check availability from the water.
Frequently asked questions
Which calendar providers does Guidepole support?
Google Calendar and Microsoft Outlook (including Office 365 and Outlook.com). Apple Calendar support is planned for a future release. In the meantime, you can subscribe to your Guidepole calendar via iCal URL in Apple Calendar for one-way read access.
How quickly do changes sync?
Changes typically sync within a few minutes. When you book a trip in Guidepole, the event appears in your external calendar almost immediately. Changes from your external calendar are picked up on the next sync cycle — usually within 5 minutes.
Does Guidepole read my personal event details?
No. Guidepole only checks whether a time slot is marked as busy or free. We never read event titles, descriptions, locations, attendees, or any other details from your personal calendar. Your privacy is protected by design.
Can I sync multiple external calendars?
Yes. You can connect multiple Google and Outlook calendars simultaneously. Each one can independently block your Guidepole availability. This is useful if you have separate personal and work calendars.
What happens if I disconnect my calendar?
Your existing Guidepole bookings remain exactly as they are. External events will no longer block your availability, and new Guidepole bookings won't push to your external calendar. You can reconnect at any time.
Can multiple guides on the same account sync different calendars?
Yes. If you use Guide Linking or Team Management, each guide connects their own calendar. Availability is tracked per guide, so each person's schedule is independent.
