Automatic Cancellation Backfill
A client cancels. Gary contacts your best clients with a one-click claim link. Preferred clients get first dibs. Most cancellations fill within hours — without you lifting a finger.
Cancellations cost you more than one trip
A cancelled Saturday charter doesn't just lose you one day's revenue. It wastes the fuel you already bought, the prep time, and the opportunity cost of a day you could have been booked. Most guides find out about cancellations too late to fill them manually — and end up either eating the loss or spending an hour texting through their contacts.
Gary eliminates the scramble. The moment a client cancels, Gary is already reaching out to your best clients. By the time you check your phone, the slot is usually filled.

9:42 AM Friday. You confirm the cancellation in Guidepole. Gary goes to work.
9:43 AM Friday. Gary messages 4 of your Preferred clients who are free Saturday: "Captain Sarah just had an opening for Saturday morning — want it?"

You found out at 10 AM when you saw the new booking in your dashboard. Total effort: zero.
How cancellation backfill works
Five steps. Two rounds max. Your best clients always hear first.
A client cancels
Weather, family emergency, schedule conflict — it happens to every guide. The moment the cancellation is confirmed, Gary takes over.
Gary checks your client tiers
Gary looks at your Preferred-tier clients and finds up to 5 who don't have a booking on that date. These are your VIPs — repeat clients who've earned priority.
Personalized offers go out
Each selected client receives a friendly, personalized message with the trip details and a one-click claim link. No mass blasts — targeted, individual outreach.
First click wins
The first client to tap the link books the slot instantly. The others see a polite "someone beat you to it" message. No double-booking, no confusion.
Escalation if needed
If nobody claims the spot within 6 hours, Gary expands to Normal-tier clients for one more round. Two rounds total — Gary never spams your network.
Your clients, prioritized
Cancellation backfill uses the client tiers you've already set up in your CRM. Here's how each tier factors in:
VIP
Your best clients — repeat bookers, big spenders, the people you always want on your boat. First to hear about cancellations, first priority for open slots.
Preferred
Solid clients you want to keep. Contacted in the first round alongside VIPs. They hear about open slots within seconds of the cancellation.
Normal
Everyone else in good standing. Only contacted if VIP and Preferred clients don't claim the spot within 6 hours. One round — Gary doesn't spam.
Defer
Clients you'd rather not take yourself. When they try to book, they're automatically routed to one of your linked guides instead. Never contacted for backfill.
Blocked
Cannot book with you at all. Booking attempts are rejected. Never contacted for backfill. Use this for problem clients you don't want back.
Why guides love backfill
Most slots fill in hours
Gary reaches out within seconds of a cancellation. Preferred clients jump on open spots fast — especially during peak season.
Zero manual texting
No scrolling through contacts. No copy-pasting messages. No tracking who said yes and who didn't. Gary handles all of it.
VIP clients feel special
Your best clients get first access to open spots. It's a perk that builds loyalty — they feel like insiders, not names on a list.
Protect your revenue
A cancelled trip doesn't have to mean lost income. Backfill turns cancellations from a problem into a non-event.
Tiered escalation
Preferred clients get first dibs. If nobody bites, Gary widens the net to Normal-tier clients. Controlled, not spammy.
One-click claiming
Clients receive a link. They tap it. They're booked. No phone tag, no back-and-forth, no "let me check my schedule."
The difference
Without Guidepole
- Client cancels = you start texting everyone you know

- Half the time the slot goes unfilled
- Lost revenue, wasted prep, empty boat
With Guidepole
- Client cancels = Gary reaches out in seconds
- Most slots fill within hours, zero effort from you
- Your best clients always hear first (tiered priority)
- One-click claiming — no back-and-forth
- Revenue protected, relationship strengthened
Frequently asked questions
How quickly does Gary contact clients after a cancellation?
Within seconds. The moment a cancellation is confirmed in the system, Gary identifies eligible Preferred clients and sends offers immediately. There's no delay and no manual trigger needed.
Can I control which clients Gary contacts?
Yes — through your client tiers. Clients tagged as Preferred get first-round offers. Normal-tier clients are only contacted if the first round doesn't fill the slot. Clients tagged as Defer or Blocked are never contacted. You can adjust tiers anytime from your client list.
What if I don't want to use automatic backfill?
Cancellation backfill is opt-in. You can turn it off in Settings and handle cancellations manually. You can also configure the timing — for example, only backfill if the trip is more than 48 hours away.
Does the backfill client pay the same price?
Yes. The backfill booking uses the same trip details and pricing as the original booking. The claiming client pays through the normal checkout flow — deposit, payment schedule, and policies all apply.
